Full-time Administrator (External Relations)

We require an efficient, personable and highly motivated person to provide excellent administrative support for International Admissions and Alumnae & Fundraising teams.

The External Relations Administrator’s role will involve providing great customer service as the initial point of contact for the department. The successful candidate will have strong IT and written and verbal communication skills, together with vast database experience.

This is a full-time 37.5 hours per week, full year position.

Salary for the role is in the region of £22,000 to £26,000pa dependent on experience.

International Admissions Administrator (Maternity Cover)

JOB OVERVIEW
An opportunity has arisen for an International Admissions Administrator to join us for a period of maternity cover at Kent College, Canterbury from June 2023. As a key member of the External Relations team, the post holder will be responsible for all administrative aspects of pupil recruitment from first enquiry to conversation at each stage of the admissions process. Alongside the rest of the team, the successful candidate will support the implementation of our recruitment strategy, ensuring the College maintains its vibrant pupil community.

The post holder will have excellent customer service and administration skills, with meticulous data accuracy. They will have genuine enthusiasm, personal integrity and be aware of the need for confidentiality. A knowledge or understanding of the Independent School sector would be an advantage, but is not essential.

Kent College is a co-educational school with a Methodist foundation. The school is located in Canterbury, just one hour from the center of London by train. The Senior School (11 – 18 years) has some 600 boys and girls, approximately one-third boarding and two-thirds day. Pippa’s Guardians is a family run company caring for International Students aged between 7 and 18 years of age at some of Britain’s best Boarding Schools. In addition to Guardianship, we provide additional educational services to offer a highly personalised end-to-end experience. Due to popular demand, our School Advisory Service is expanding, and we are looking to appoint a home-based School Advisory Administrator to support the delivery of the service.

 In this exciting new role, the Schools Advisory Administrator will have responsibility for managing the administrative aspects of the Pippa’s Guardians School Advisory Service. They will collaborate with the Managing Director and Pippa’s Overseas Representatives to deliver the highly personal School Advisory Service in a timely and efficient manner. With excellent organisational skills, they will be comfortable with interactions with parents and schools and will provide the highest quality of communication and service. Good relationship management is key as you’ll liaise with some of the top boarding schools in the UK as well as international parents and their children. Helping to organise overseas educational events will also be a key aspect of the role.

Previous experience in an Admissions related role the Independent School sector would be advantageous as well as knowledge of international markets and experience of working with international parents.

 Home-based and working in the region of 20 hours a week in the first instance, the role is hugely flexible, rewarding and varied. There is scope for hours to be increased in the future subject to further demand.

Marketing & Events Administrator

An exciting opportunity has arisen to join a busy marketing function in a leading independent school in the heart of Harrogate. The position is suited to a person who thrives in an environment where no two days are the same. If you are exceptional at multi-tasking, highly organised and are interested in working in lively surroundings with children aged 2-18 then this could be the new role for you.

This is a customer-facing role with prospective pupils and parents and so you should be well presented, positive and responsive. In addition, you should have an excellent attention to detail with strong IT skills and experience of working with databases.

The hours of the role are from either: 8.00am until 5.00pm or 8.30am until 5.30pm, Mondays to Fridays, with some evening or weekend working when Marketing events take place.

Experience of a marketing and/or events role would be desirable but not essential.

Admissions Administrator

KEY DUTIES AND RESPONSIBILITIES:

  • Providing comprehensive administrative assistance across the department
  • Processing all registration applications accurately and in a timely fashion
  • Scheduling assessment appointments and preparing assessment/interview sheets
  • Emailing appointment chasers as appropriate
  • Maintaining an up to date vacancy register
  • Updating information on the School database when appropriate
  • Electronic filing of correspondence eg acceptance emails
  • Attending all relevant events, Open Day, Information Mornings, Entrance Exams (all Saturdays) as well as some evening events
  • Assisting with the preparation for and organisation of assessment and tour days
  • Assisting with the production of appropriate literature and presentations

TERMS OF EMPLOYMENT:

  • Term time: 08:00 – 17:00, Monday – Friday, with one hour for lunch which is unpaid
  • School holidays: 08.30– 15:30 Monday to Friday, with half an hour for lunch which is unpaid
  • Required attendance: As part of the contracted hours, the post holder will be required to attend Open Day, Information and Mornings, Entrance Examinations (all Saturdays) as well as some evening events. Please note that time in lieu and additional payment will not be offered for these days.
  • Holiday: 30 days to be taken during school holidays, and in such a manner that the Admissions Office is permanently staffed throughout the year, except for bank holidays when the entire School is closed. Due to the nature of the workload in the Admissions Office the vast majority of holiday needs to be taken during Easter, May half term and the Summer break.
