Admissions Officer

Reporting to the Admissions Manager, the Admissions Officer will work to deliver a seamless Admissions service to the Prep School. The Admissions Officer role is a key interface with prospective parents and pupils, and plays a key part in building lasting relationships. The Admissions Officer will provide information and support to deliver a high-quality admissions service.

This is a customer (parent) facing role therefore you’ll have excellent relationship building skills and the ability to build lasting relationships. You’ll be strong at managing your time effectively, and prioritising work to meet the demands of the Admissions Plan. You’ll be a confident networker as this role requires working with colleagues across the Colleague to build a credible Admissions experience. You’ll be expert at working with a range of demanding customers and resolving problems quickly. The ability to remain calm under pressure is something that comes naturally! You’ll also need to be committed to working as part of a team.

The salary for this position is £28,000-£32,000 dependent on experience.

Admissions Officer

Hours: Full time, 36 hours a week all year round.

The Admissions Officer is a key role within our Admissions team, responsible for delivering an efficient and welcoming service to all stakeholders, most notably prospective parents and students and feeder schools. The aim is to provide a professional and comprehensive admissions service and to ensure that all prospective families receive a positive impression of the school. Working with the Registrar, the focus of this role is the 16 plus, sixth form admissions process and management of in year admissions. The successful candidate will manage the process of open days, applications and assessment of offers, including the induction process to welcome in new students. Outstanding IT skills, an enthusiasm for dealing with people and excellent administrative skills are key attributes.

The role
We are seeking to appoint a highly capable Admissions Officer who will already have experience within this field. The successful candidate will work closely with the Head of Admissions to manage all initial enquiries from families through to the pupils starting at school. This role will require highly developed interpersonal skills and the ability to meet expectations. Admissions Officer

Role: To support the Director of Admissions in all tasks for the day-to-day operation of the admissions function.

Principle Accountabilities:

  • In conjunction with the Admissions team maintain accurate records on the school databases
  • Assist in ensuring that the Admissions Department is fully integrated and engaged with all aspects of school life
  • Provide agents with up-to-date information and contracts
  • Provide advice to parents /guardians about the availability of places in all-year groups
  • Provide advice to parents/guardians on entry criteria
  • Organise and administer entrance assessments and interviews
  • Liaise with visa company in order to provide all necessary information for the issuing of visas and assisting clients and agents with the immigration requirements
  • Work closely with visa company termly on returners and of any visa issues
  • Representing the school by attending school-related social / evening functions
  • Compilation of internal entrance papers and the results
  • Arranging prospective parents/guardians’ visits to the school (internally and externally) and organizing pupil tour guides
  • Following up after visits obtaining feedback and tracking inquiries
  • Responsible for the updating of the school handbook and uniform guide on an annual basis
  • Reviewing and updating all new pupil paperwork on a termly basis
  • Attending other school fairs and events when required
  • Any other tasks within reason that the Director of Admissions may require

Job Knowledge, Skills, and Experience:

Essential

  • PC literate, G Suite preferred, and proficient user of database packages, software applications, and digital media
  • Excellent communication skills
  • Good analytical and problem-solving skills
  • Knowledge of independent education and the ability to learn in detail about the curriculum life at Glenalmond
  • Effective time management skills, well organised with the ability to plan and prioritise to meet deadlines

Terms:

Hours of Work
This is a full-time post with the requirement for 35 hours of work on average per week. There is a requirement for flexibility with some travel likely for events and attendance at key events required, such as Open Days on weekends.

Leave Entitlement:
30 days plus 10 Bank Holidays

Salary Scale:
In the range of £24,000—£26,000 depending on skills and experience.

THE DEPARTMENT

The busy and dynamic Admissions team are responsible for leading and co ordinating the admission of pupils to Highgate’s over-subscribed Pre-Prep, Junior and Senior Schools, work which is crucial for the ongoing success of the school. Led by the Head of Admissions, the team consists of 6 members who each have clear responsibilities yet work collaboratively as a team. We work closely with the Communications team as well as the leadership teams across all three schools.

THE ROLE

You will be leading our Admissions process for 4+ applicants, working closely with families of applicants, carefully leading them through the application process. In addition to your main admissions entry point, you will be expected to take responsibility for specific areas within admissions as needed, acting as the team lead, spearheading relevant training and projects as appropriate. This may include managing data and supporting SEND applicants. Further details may be discussed at interview.

You will have excellent administrative, communication and customer service skills to ensure that all applicants have a positive experience of the school, whether successful or not. Calm and organised, you will be a people-person with a flexible, pro-active and can-do approach. Previous experience of an educational admissions process would be a distinct advantage.
