Collaborates with: Head of Marketing, Education Heads and Admissions Manager.

This is a crucial role serving a wide range of internal and external customers. Attention to detail and excellent administration skills are a must, as is the highest level of professionalism and customer engagement/care.
The Head of Admissions will be a strategic thinker, target driven and have the determination, and self-motivation and drive to maximize student numbers.
The Head of Admissions will work in collaboration with the Head of Marketing, and the Education leadership, to create and develop the Admissions strategies and the 5 year strategic development plan, to ensure that we attract and recruit students who will benefit from being part of My Online Schooling. Additionally, working closely with the Admissions Manager to oversee the team, ensuring implementation of strategy.
The Head of Admissions will be responsible for the management and operation of all aspects of student recruitment and forecasting from enquiry through to admission and will be working closely with the Head of Marketing and Educations Heads.
Job Purpose: As a leader in the School’s Admissions team, the post holder would be responsible for supporting the implementation of the school’s admissions strategy, including the maintenance of accurate data and preparation of summaries, statistics and reports as required.
Main Duties and Key Responsibilities
The Head of Admissions will be responsible for:
Day to day running of the Admissions Department and Liaising with the Admissions
Manager and coordinators
Designing and delivering an integrated and customer-focused sales approach, from initial contact and beyond.
Working with COO to ensure the school’s recruitment targets are met.
Projecting a welcoming, warm, positive, professional, and efficient face and voice that is representative of My Online Schooling.
Building long-term relationships with families.
Recording and reporting accurate and timely information on admissions and ensuring the data entered into the database is detailed and accurate.
Providing weekly stats to the COO, Head of Marketing and School Principal.
Maintaining all literature and publications relating to Admissions, to ensure that the format and content remains current
Collaborating closely with the Head of Marketing, to ensure that the website contains accurate admissions content at all times.
Working closely with key members of staff (Finance, Deputy Heads, SEN, EAL etc.) regarding concerns or queries with any potential applicants.
Liaising closely with Teachers, Heads of School and Administrative staff, to ensure the smooth transition/induction of new families, and support arrangements for new starters.
Liaising with Accounts regarding all new starters and leavers, ensuring that Admissions are aware at all times of class capacity, through close liaison with Education.
Attending regular meetings with the COO and Head of Marketing to discuss improvements to the Admissions process.
Effectively participating in initiatives to drive pupil recruitment and enrolment opportunities.
Working diligently with your team towards achieving targets.
Working closely with the Admission Team to ensure all incoming enquiries from prospective parents and international agents at all stages of the admissions process, are engaged with in a timely manner in consultation with the CEO, COO.
Working with the Admissions Manager to develop and optimise the admissions process. Working with the Education team (and other departments) to organise admissions events and follow up procedures.
Drafting all official communication, maintaining and developing relationships with key connections and prospective parents.
Maintaining accurate records for inspection visits.
Distributing timely information about prospective and new entrants to relevant staff.
Identifying ways of improving and developing the School admissions and enrolment processes.
Respecting, at all times confidentiality and complying with all relevant policies, procedures, and practices of the School and GDPR
Communicating regularly with the CEO and COO on all issues as they arise affecting prospective pupil enquiries.
Managing a wide and diverse range of individuals in a helpful and courteous manner, providing clear and correct information at all times.
Updates/amends our school offering, terms & conditions and policies that relate directly to Admissions.
Working with the admissions team and Hubspot Admissions Consultant on optimising the admissions process and communication

Good working knowledge of all MS packages and the ability to learn new systems.

The successful candidate will be required to:
Always comply with the My Online Schooling OS Child Protection & Safeguarding Policy.
Promote and safeguard the welfare of the children and young persons they come into contact with or deal with.
Immediately report safeguarding concerns to the My Online Schooling Designated Safeguarding Lead (DSL).
Treat all sensitive information relating to pupils, fellow employees and the business of My Online Schooling as confidential.

Follow all of My Online Schoolings’ policies and procedures as appropriate and relevant to their post.
Essential:
Must have experience of using CRM Hubspot – particularly the sales, service and email marketing tools
Desirable:
Experience of School Management System iSAMs
Experience of Shopify
The role will encompass a blended approach to working, there will be the option to work from home, however there will be a minimum requirement of 3 days working out of our head office based in Edinburgh.
