These Terms & Conditions (“Terms”) govern your access to and use of the AMCIS website, online community spaces, resource library, membership services, events, training, and any related services provided by AMCIS. By accessing or using any part of these services, you confirm that you have read, understood, and agree to be bound by these Terms.

If you do not agree, you must not use the Website, Community, Resource Library, or any AMCIS services.

1. Definitions and Interpretation

In these Terms:

  • AMCIS / we / us / our means The Association for Admissions, Marketing & Communications in Independent Schools
  • You / your means any individual accessing the Website, holding membership, using the Resource Library, participating in the Community, attending Events or Training, or acting on behalf of an organisation
  • Website means the AMCIS website and associated digital platforms
  • Account means a membership or user account which provides access to restricted areas
  • Community means AMCIS‑operated online discussion forums and collaboration spaces
  • Resource Library means the AMCIS collection of downloadable or viewable resources, templates, guidance, and materials
  • Content means all material made available by AMCIS
  • Events are in-person and online including conferences, meetings, webinars, training courses, and professional development activities

Headings are for convenience only and do not affect interpretation.

3. Scope of These Terms

These Terms apply to:

  • Use of the Website
  • Membership registration and access
  • Participation in the Community
  • Use of the Resource Library
  • Attendance at Events and Training
  • Fees, payments, cancellations and refunds

Additional terms may apply to specific services and will be provided where relevant.

4. Website and Platform Use

You agree to use the Website, Community, and Resource Library lawfully and professionally. You must not:

  • Misuse restricted areas or membership resources
  • Post or share unlawful, misleading, promotional, or inappropriate material
  • Share confidential, personal, or safeguarding‑related information
  • Attempt unauthorised access to systems or accounts
  • Upload malicious or harmful content

AMCIS may restrict, suspend, or terminate access without notice for breach of these Terms.

5. Membership Accounts

You are responsible for:

  • Keeping login details confidential
  • Ensuring information provided is accurate and up to date
  • All activity carried out under your Account

Login details must not be shared. AMCIS accepts no liability for unauthorised access resulting from failure to maintain account security.

6. Member Directories

AMCIS provides access to:

  • School directories – members only
  • Corporate directories – may be publicly accessible

Directory data must not be copied, extracted, shared, scraped, or used for marketing or commercial purposes in breach of UK GDPR, PECR, or these Terms. AMCIS reserves the right to take disciplinary or legal action.

7. Community Guidelines (Summary)

Use of the Community is conditional on compliance with these principles:

  • Confidentiality & Safeguarding
    Do not post confidential, identifiable, or safeguarding‑related information. Safeguarding concerns must follow your organisation’s internal procedures and must not be raised within the Community.
  • Professional & Relevant Use
    Contributions must relate to admissions, marketing, communications, or AMCIS‑led professional development and meet professional standards.
  • Responsible Sharing
    You are responsible for the accuracy and legality of your contributions and for respecting copyright and data protection law.
  • No Advertising or Solicitation
    Advertising or commercial promotion is prohibited unless explicitly authorised by AMCIS.
  • Respectful Conduct
    Contributions must be constructive and respectful.
  • Moderation & Responsibility
    AMCIS may monitor, remove, restrict, or take action in relation to Community content. All posts are the responsibility of the individual member and do not necessarily reflect AMCIS’s views.

8. AMCIS Resource Library
8.1 Access and Eligibility

Access to the Resource Library is available only to eligible members or users with appropriate account permissions. AMCIS may restrict or withdraw access at its discretion.

8.2 Permitted Use

Resource Library materials are provided for professional reference, learning, and internal use only.

You may view, download, and use resources within your organisation where  membership terms and copyright restrictions permit it.

8.3 Prohibited Use

You must not, without AMCIS’s prior written permission:

  • Share resources with non‑members or third parties
  • Upload materials to public or external platforms
  • Commercially exploit, sell, or license materials
  • Remove copyright, branding, or attribution
8.4 Intellectual Property

All Resource Library materials are owned by AMCIS or authorised for AMCIS to share

8.5 Accuracy and Reliance

Resources are provided for general professional information only. AMCIS makes no warranty as to accuracy, completeness, or fitness for purpose. Content does not constitute legal, safeguarding, or regulated advice.

8.6 Third‑Party or Member Content

AMCIS does not endorse or verify third‑party or member‑contributed resources and accepts no liability for reliance on such materials.

8.7 Data Protection and Confidentiality

You must not upload or share confidential, personal, or safeguarding‑related information within the Resource Library. Use must comply with UK GDPR and safeguarding obligations.

9. Events
9.1 Bookings

Bookings are subject to availability and AMCIS reserves the right to close bookings early should an event become fully booked. Bookings are confirmed at the at point of registration and you will receive confirmation and invoice.

9.2 Substitutions

Delegate substitutions are permitted if AMCIS is notified at least 1 week before the event and eligibility requirements are met. If you do wish to transfer your registration to another member of staff within your School, please inform the AMCIS office at least 48 hours before the event. We are unable to transfer your payment to an alternative AMCIS event

9.3 Cancellations by You

Unless stated otherwise:

Cancellations received 14+ working days before the event will receive a full refund. If a booking is cancelled after this date, or if the delegate fails to attend for any reason, the fee must be paid in full.

Non‑attendance is non‑refundable.

9.4 Changes or Cancellation by AMCIS

AMCIS may amend or cancel events. If cancelled, any fees paid will be refunded. AMCIS is not liable for travel or accommodation costs.

10. Training and Professional Development
  • Training access is limited to the registered participant or organisation
  • Training materials remain the intellectual property of AMCIS
  • Materials must not be copied, recorded, or redistributed without written permission
  • Training is provided for professional development only and does not constitute regulated advice
11. Fees and Payment
  • Fees are stated in GBP (£) unless otherwise specified
  • Payment will be required within 30 days of the date of invoice or before the date of the event, whichever is soonest
  • Fees may differ for members and non‑members
  • Attendance at AMCIS Events is exempt of VAT. Sponsoring and Exhibiting at AMCIS Events is VATable.

Refunds (where applicable) are processed to the original payment method.

12. Privacy and Data Protection

Personal data is processed in accordance with the AMCIS Privacy Policy, which forms part of these Terms, and in compliance with UK GDPR and the Data Protection Act 2018.

13. Intellectual Property (General)

All Content is owned by AMCIS may not be reproduced, distributed, adapted, or commercially exploited without prior written consent.

14. Limitation of Liability

To the fullest extent permitted by law, AMCIS excludes liability for indirect, consequential, or economic loss arising from use of the Website, Community, Resource Library, Events, Training, or services.

Nothing excludes liability that cannot be lawfully excluded.

15. Force Majeure

AMCIS shall not be liable for failure or delay caused by events beyond reasonable control.

16. Changes to These Terms

AMCIS may amend these Terms at any time. The current version will be published on the Website. Continued use constitutes acceptance.

17. Governing Law and Jurisdiction

These Terms are governed by the laws of England and Wales.
The courts of England and Wales have exclusive jurisdiction.
